We're excited to release the first stage of ClinicTracker's new look and feel. You will find that we've substantially upgraded our logo, icons, and other graphical elements to give our software a more modern, accessible appearance. These esthetic changes are part of a larger effort to upgrade your experience with our software. Over the next several releases you'll see how we're re-designing major elements of the program to make them more intuitive and user-friendly. As always, our users suggested many of the changes we're implementing, so please keep those ideas headed our way.

You'll see on the Main Screen elements of our new "Enhanced Mouseover" system. It is part of our effort to maximize the extent to which the program can guide you through its many features. With this release, you'll notice revised mouseover text and a format that's easier to read. Over time, you'll see that some of the mouseovers have an information icon. Clicking on it will bring you to a fuller description of the feature (of the sort you can find in our help documentation), along with whatever links might direct you to related topics. The last step is especially powerful in that we'll have links that can take you right to other parts of the program (for example, a relevant maintenance form).

We've added four new audit logs for the Patient and Staff portals. They show who has accessed each portal and the nature of their activities. Administrative users can access these reports by following this path: Help -> About -> Maintenance -> View Audit Logs.

We have created a new "Text Template" feature that will allow you to preload canned statements for any text area in the system. For example, if you had a "presenting problems" field, you could pre-store phrases (specific to that field) for "Patient presented with mild anxiety symptoms on 3/5/21." and then add that phrase by simply checking a box that says "Mild Anxiety."
Access this feature by pressing Shift+Escape on your keyboard when you have focus in a text control. This will display the available text templates. Administrative users can use this same location to configure the available phrases. -
Many of our users tired of having to enter their (often lengthy) ClinicTracker passwords every time they had to sign paperwork. In response, we made it so that you could enter a Signature PIN instead of the full password, everywhere except for the initial login or inactivity security screens. For this new feature to become active, an administration first has to enable it in the Options form (Enable Signature PIN), where they can also set the length requirements for the PIN. Users can then configure their personal PIN number on the Additional Options tab of their Staff Info record.

You can now design tabs within Form Builder that only display under certain conditions (i.e., "conditionally visible" tabs). If you set all the controls within a tab to be invisible, the system will not display that tab at all. This feature is available in both ClinicTracker and the portals.

For those of you who use the Batch Create Claim utility for PRP-style blended billing scenarios: If you select multiple Service Locations within the Matching Patients Display option, you can now require that, to be included in the batch, a patient has had an appointment in all of those locations at some point during the selected date range. Just check the box labeled, "Require Appointment in Each Selected Location" at the top left of the form.
Also, you can now calculate service charges using the normal fee schedule calculation rules, rather than manually entering in a service cost. You’ll see a checkbox labeled “Use Fee Schedule” on the right side of the form, under where you enter the Service Rate and Units. -
Our messaging system lets you configure an autoreply (such as, "I'm on vacation until Tuesday. Please contact my supervisor"). We've now made it that you can configure an autoreply for incoming secure messages that your patients send you through the Patient Portal.

In the Batch Create Claims component of BillingTracker (Claim Creation -> Batch Create Claims), we've added a way to filter Patient Search results by the age of the patient. You'll find that function at the top right of the form.
Also notice that, depending on your other search criteria, you can select by the current age, age as of the start of the current month, age as of the end of the current month, and age as of a custom date you set. -
You can enter service unit quantities up to 999 (previously only 99) when recording appointments within Patient Contacts.

You will see we added an icon to the far-right side of each rule within Compliance Builder. Clicking on it opens a text box, where you can enter a description and instructions for applying that rule.

You will find a new ClinicTracker Quick Reference guide that's available in ClinicTracker's Help menu. It shows various system conventions for both PC and Mac users (you can indicate your preferred platform in the top right corner). You'll also see that you can toggle whether or not the guide displays at startup via the checkbox at the bottom right.

Telehealth Connector users will now see telehealth join links in their internet calendar (integrated with Outlook or another calendar system) and/or when they download an ICS file directly.

Some of our customers requested a method for collecting an insurer credit card payment and then storing it as a credit balance. Click on Payment in BillingTracker's left navigation bar, select the Insurance Payment form, and click on the new "Collect Payment" item in the top menu.

When ClinicTracker sends an insurance eligibility request, a payor might return an "In Network Plan" indicator and/or "Authorization Required" indicator. The grid at ClinicTracker -> Utilities -> Insurance Eligibility Review will now display information a payor might have sent for either of those fields.

We've added two new fields to the Referral section of the Demographics Form: Referral Source Email and Referral Agency. We also made it so you can change the label itself by going to Admin Config -> Custom Labels -> Fields(2) tab. You'll see those two fields at the bottom of that listing.

You can now control which sections within the Clinical Info tab show in your Patient Portal. Please contact us if you would like to hide one or more of those sections.

When you select a Referral Source in the Demographics form, the system will populate the ensuing fields (email, phone, agency, and referred by) with the relevant information it finds at: BillingTracker -> File -> Setup -> Referral source.

We have enabled custom labels for the Treatment Plan Goal and Objective sections.
