When a patient schedules an appointment through the Patient Portal, the system will store whatever location the patient selected when they searched for an available appointment time.

When patients log into the Patient Portal, they will see a new section on the landing page that lets them know if they have an upcoming appointment. If so, they can view the details. If not, they will be prompted with a link to schedule their next appointment (assuming the online scheduling feature is enabled).

In the previous update, we made a change so that service code add-ons would be inspected to ensure they respected the minimum/maximum time limits configured for that service code. If you want to disable this feature, see: Options form -> Preferences Tab -> Patient Contacts Form Settings -> Add-On Enforce Min/Max Times.

You can now administer PHQ-9 and Hamilton Anxiety scales thru the Patient Portal.

Claims displayed in the Billing Account Claims tab will show on-hold items in red.

When you send a message/reminder for a Billing Note, the hyperlink will now take you directly to that note, rather than to the patient's general Billing Account.

When you configure entries in ClinicTracker's Service Input form, you will see three new rounding rules: NT (Nearest Third), UT (Round Up to Nearest Third), DT (Round Down to Nearest Third).

You can now adjust the claim delay reason for one or more claims by right clicking on them in the Review Submission screen.

When you create a batch of Patient of Insurer Statements through Claim Management, they will display in alphabetical order (by patient or insurer).

You will see a new button on the Billing Notes screen that you can use to set reminders through the messaging system. If, for example, the billing note identifies a follow-up call you have to make in two weeks, you can have ClinicTracker remind you.

We increased the maximum length of the reference number field on the foster placement form from 7 to 15 characters.

We updated the Diagnosis Assignment control to display (N)ew instead of (U)pdate. The idea was to make it clearer that you are entering a new diagnosis assignment that is replacing an existing one.

We have introduced a new method for printing Custom Forms that both drastically improves the speed of producing the output and more accurately mimics the on-screen layout. You will see "Report Layout PDF (Beta)" and "Report Layout Word (Beta)" options in the print menu. In a future update, these will replace the existing Report Layout features.

We added a new feature throughout the system called "F4 Expansion." Press the F4 key to open an expanded window in any text area too small to hold all the text you would like to enter. Many of you will especially appreciate that you can also enlarge the text by using the "zoom factor" in the bottom right corner. The system will even remember how you set the zoom the next time you access the F4 Expansion feature.

The Service Code Add-Ons you select for an appointment will respect whatever minimum/maximum times you configured in Service Input.

When you add a single patient to a scheduled event, the system will automatically set the insurer according to the setting: Default to Primary Insurance.

Popup messages related to checked-in patients will now stay on-screen for longer than five seconds.

When you right click on a patient's name to enter a patient-specific note, you will now see an expanded text area that allows you to enter an unlimited amount of information.

If you've custom-labeled your Progress Note templates, you may have noticed that the Treatment History list still showed the old abbreviations (e.g., STND and SOAP). You can now adjust the display by going to Help -> About -> Admin Config -> Custom Labels on the Progress Notes tab.

If a client's Demographic record contains an alias, it will now be used in place of the first name by the Appointment Reminder service.

You can once again filter results in the ERA grid.

When you revert an ERA file, the system will also remove non-balance-affecting Adjustments.

We added an Oxygen Saturation field to the Vitals form.

We added CO-131 to the list of balance-affecting adjustments processed when you import an ERA file.

To improve the performance of the ERA module, we added a new setting called "Archival Days" in the Admin tab of the Options form underneath "Enable 835." This feature will archive older ERA files, similar to how the system archives old scheduled events. If a file is older than the specified number of days and the file has been fully processed with all payment lines applied, it will be archived. An archived file will have "(Archived)" at the end of the file name. You can view archived files by selecting "Specific File" from the file dropdown. You can restore it by clicking the "Unarchive" button to the right of the file list.

We improved the performance of the Scheduler.

Conditional visibility formulas based on a checkbox field did not always trigger properly when a record was first loaded. This has been fixed.

We added a new setting for "Alternate Date Format" at: BillingTracker -> File -> Setup -> Insurer Plans -> Claim Details tab -> UB-04 Options section. Dates are generally formatted as MMDDYY. Check this option to send all dates as MM/DD/YYYY.

In a recent update, we added the ability to right-click an entry in the Transition Appointments list to view the appointment details. A new message will remind you to refresh the Transition List if you made any changes to that appointment.

In the last update we added a setting in the Scheduler's Calendar menu for "Disable All Color Coding." We did so to prevent the Scheduler from hanging on systems that had limited processing resources. We have now made this setting "sticky" so that the system will remember your selection the next time you access the Scheduler, even after you’ve logged off from ClinicTracker entirely.

You can now navigate directly to an appointment by right-clicking an entry in the Transition Appointments list.

We added a field named "ClaimDiagnoses" to the report source: bt_RepBillingStatusReport.

We added two new settings to the Security tab of the options form:

• Passwords Require at Least One Special Character - Enabling this setting will require passwords to contain one of the following values: [!@#$%^*()-+]
• Passwords Cannot Contain Person's Name - Enabling this setting will ensure the password does not contain the person's first name, last name, or username

We added a "Quick Print" printer icon near the top right corner of all reports. Pressing this button will directly print one copy of the report to the default printer.

The Patient Group Input maintenance menu has a new checkbox option labeled, "Default Group." It causes whatever group you have chosen to be the default selection for new patients in the Demographics form.

We corrected a scenario that kept the My Messages widget from updating with new incoming messages.

Applying a write-off of over $1,000 will no longer be problematic.

We added a new setting to BillingTracker -> File -> Setup -> Insurer Plan on the EClaim Options (2) tab. It is labeled, "Don't Send Product/Service ID Qualifier for Institutional Claims (SV202-1)."

Non-clinical staff will now have their name show in the Disclosing Staff dropdown within the Consent Disclosure Tracking form.

If the bottom half of your UB-04 claim does not align properly, go to: BillingTracker -> File -> Settings -> Options. Use the new "Vertical Space Above Label For Box 50" setting to add additional space in the middle of the form.

The system will now sort notes in the Quick View Pane (QVP) from newest to oldest.

When you configure a field with numeric validation, you can now use a new dropdown to select the number of decimals you want to store and display.

ClinicTracker has had a feature that lets you send a Custom Form to a patient via the Patient Portal. The provider could then add to that form upon its return. This feature was helpful for sending out admission packets and Patient Rights and Responsibilities forms for completion. We have expanded the power of this collaboration tool. Now the Provider can partially complete a Custom Form, save it as a record, and then send that record to the patient to finish. This capability means you can partially complete forms like Safety Plans and send them out to the patient to add a signature or additional information. You have two options for sending a saved record to the Patient Portal for completion: 1) display the previously-created paperwork record on-screen, then choose Actions -> Request Patient Complete Form; or 2) go to the Patient Portal Form Request screen (Patients -> Patient Dashboard -> Patient Portal -> Configure Account -> Patient Portal Form Request). When you select the Form Name, you will see a new dropdown for Version. In it is an option for creating a "-New Form-" (the prior method) as well as a listing of previously saved record dates (the new feature).

The Related Documents entry will show properly in the Navigation menu in all scenarios.

We added an "Omit" checkbox to the form at: BillingTracker -> File -> Setup -> Revenue Code Setup. It lets the system know not to expect a Revenue Code. However, you still can set other properties, such as Displaying a CPT code on the claim.
